The Busy-Proof Receipt System (Simple. Fast. Actually doable.)

Updated: Apr 20

Here’s a system that works even if your office is your car and your filing cabinet is vibes:

Step 1: One habit

Photo every receipt immediately.

Not perfect lighting. Not “when I get home.” Immediately.

Step 2: One folder

Make one folder/album on your phone:

“2026 Receipts”.

Inside it, you can optionally do months, but don’t overcomplicate it.

Step 3: One weekly reset (10 minutes)

Pick one day—Friday afternoon or Sunday evening—and:

  • Upload receipts to your bookkeeping system/shared folder.

  • Toss the paper receipts you already captured (unless you need originals for something specific).

💡Pro Tip: Automate the process to send/save these images for you once a week (ask me how).

Step 4: One rule for paper receipts

If you keep paper receipts, store them in ONE place:

  • A zip pouch in your car

  • A desktop tray

  • An envelope labeled by month

Not 17 places. Just 👏 One 👏.

Quick Reality Check (You’re not messy. You’re busy.)

Receipts don’t get lost because you’re irresponsible. They get lost because you’re running a business, living life, and probably holding a coffee while doing 9 things at once.

But a simple habit + one system can save you hours later (and make tax time way less dramatic).

Final Thoughts on Receipt Management

Managing receipts can feel overwhelming, but it doesn't have to be. By implementing a few straightforward strategies, you can reclaim control over your financial documentation. Remember, the goal is to simplify your financial life so you can focus on what you love and grow your venture.

With a little practice, these habits will become second nature. You’ll find that keeping track of your receipts is not just a chore, but a vital part of running your business smoothly.

So, take a deep breath, and let’s tackle those receipts together. You’ve got this!

Which receipts do you lose the most?

  • Fuel/Auto Repair

  • Supplies

  • Meals

  • Amazon purchases
